Build a participant-led brief
Start with headcount, date, available hours, riding backgrounds and the number who would prefer to be ATV passengers. Check whether the activity is something people actually want to do. Do not assume everyone can ride a geared motorcycle, or that one route will fit a group with very different confidence levels.
Confirm what the organiser needs
Ask the team about group capacity and scheduling before circulating an itinerary. The public products are guided tours, rather than a published corporate package with meeting rooms, catering menus, facilitation or exclusive venue use. If your company needs a particular document or arrangement, make that part of the enquiry and obtain confirmation.
Separate tour inclusions from requests
The three- and four-hour ATV and dirt bike products list lunch, while short rides do not. Pickup follows the guest-count rules on eligible longer tours. Photo packages apply once per booking. Ask for a clear proposal if the event needs mixed skill groups or special timing, and confirm each arrangement rather than assuming it comes with the tour.
